Administrative Support Assistant
We are currently looking for an Administrative Support Assistant for our client which is a globally recognized advisory think tank in energy economics and sustainability that provides strategic insights to support Saudi Arabia’s energy sector.
About the role:
The Administrative Support Assistant will provide essential support to the Executive Director and teams within the Knowledge and Analysis Departments, including schedule management, communication, meeting coordination, and operational support. This role requires a highly organized individual with strong communication skills and the ability to handle confidential information with discretion. The ideal candidate will be detail-oriented, adaptable, and able to manage multiple tasks in a fast-paced environment. This is a contract role of 1-2 years of duration.
You will:
- Conduct Administrative Support: monitor and keep track of Executive Director's activities, assignments, calendar and workload, and provide reminders of pending items, due dates and follow up statues.
- Perform Meeting Coordination: plan, schedule, and prepare meetings internally (including with each team member whenever required), including taking minutes, follow up on action items if needed, and externally (booking of rooms, security clearance, gate passes, taxis, catering if needed, etc).
- Do Travel Arrangements: plans, schedules, and preparations for travel before and after the trip (travel bookings, hotel bookings).
- Perform other related responsibilities as assigned to support the K&A department and team.
- Keeping track of team activities and schedules and following up with them regarding pending items and due dates.
- Assisting, scheduling and preparing meetings with team, other programs, external parties; collating all related materials beforehand and supporting onboarding.
- Being point of contact for data for SPII quarterly report requests.
- Supporting team with general issues and queries, supporting HC with visitors, trainers etc.
- Assisting other departments with K&A events.
- Performing administrative support for SAP: purchase requisition, releasing purchase order, doing service entry sheet transactions, status and follow ups (SAP reports).
You have:
- Minimum of 2-3 years of experience in administrative support roles.
- Diploma or bachelor’s degree preferred.
- Ability to work independently in an organized and detail-oriented manner, and manage multiple assignments.
- Knowledge of standard office administrative practices and procedures.
- Proficient computer skills with a strong command of MS Office Suite (SAP experience is an advantage).
- Adequate knowledge of domestic and global news and events.
- Excellent command of English (written and spoken).
- Adaptability and responsiveness to fast-paced environments and tight deadlines.
- Strong interpersonal skills and professional demeanor.
- Ability to handle confidential matters with discretion.
